LADIES NINE-HOLE LEAGUE
ARTICLE I—NAME AND PURPOSE
Section 1. Name. The name of the organization is “Magnolia Point Ladies Nine-Hole League.”
Section 2. Purpose. The purpose of the Nine-Hole League is to provide a full golf agenda and develop, promote, maintain, and protect the best interests of golf among the female members of Magnolia Point Golf and Country Club. The League normally plays and meets at Magnolia Point Golf and Country Club.
ARTICLE II—MEMBERSHIP
Membership is open to all female amateur golfers who are registered members of the Magnolia Point Golf and Country Club and have paid their annual League membership dues and meet other qualifications as specified in these bylaws.
ARTICLE III—OFFICERS, THEIR ELECTION, AND DUTIES
Section 1. Officers. The League’s governing officers consist of a:

§ Secretary
§ Treasurer
Section 2. Election of Officers. Officers are elected by the League’s members at the May general meeting. The procedure is explained in the bylaws.
Section 3. Duties of the President. The President shall be responsible for:
§ All activities of the Magnolia Point Ladies Nine-Hole League for the duration of her tenure
§ Presiding at all general meetings and at all meetings of the Board of Directors
§ Developing an annual budget with the advice and assistance of the Treasurer and the Committee Chairmen
Section 4. Duties of the Vice-President. The Vice-President shall be responsible for:
§ Performing all duties of the President in her absence
§ Performing the duties of Membership Chairman
§ Selecting, purchasing, and presenting a gift to the outgoing President
Section 5. Duties of the Secretary. The Secretary shall be responsible for:
§ Maintaining an accurate and permanent record of all general meetings and all meetings of the Board of Directors
§ Handling all of the League’s correspondence
§ Providing League information to the Magnolia Point Newsletter for publication
Section 6. Duties of the Treasurer. The Treasurer shall be responsible for:
§ Receiving, disbursing, and accounting for all of the League’s monetary accounts
§ Maintaining an accurate ledger of all fiscal transactions
§ Presenting an oral financial report whenever requested by the Board
§ Forwarding to the Membership Chairman the names of all members who have paid their annual dues by May 1
ARTICLE IV—MEETINGS
Section 1. Location. The League’s meetings are held at such places as may be specified by the Board of Directors.
Section 2. General Meetings. General meetings of members are normally conducted on the first Thursday of each month during the season, after play.
Section 3. Special Meetings. Special meetings of members may be called at any time by the President to discuss relevant topics that pertain to the membership.
Section 4. Board Meetings. Board meetings may be called at any time by the President to conduct League business. Board meetings and their agenda should be announced to the Board at least one week prior to the meeting, but need not be announced to the general membership.
ARTICLE V—AMENDMENTS
Section 1. Amendments. The Board of Directors may initiate proposed amendments to this Constitution. The proposed amendments shall be prominently displayed in the Ladies Locker Room at least two weeks prior to the next general meeting. A majority vote of those present in the next general meeting is sufficient to adopt the amendments.

ARTICLE I—PURPOSE
The purpose of the bylaws is to provide additional information and rules for (1) the government of the Nine-Hole League and (2) the League’s playday competition.
ARTICLE II—TERMS AND DEFINITIONS
Section 1. “Members” shall mean and refer to ladies who have officially joined the Nine-Hole League and are in good standing.
Section 2. “Board of Directors” includes members who serve as the League’s officers, the chairmen of standing committees, and the League’s immediate past president.
Section 3. “Officers” refers to the League’s President, Vice President, Secretary, Treasurer, and the League’s immediate past president.
Section 4. “Standing Committees” are those nine committees that are permanently established to perform specific functions for the League. An example is the Handicap Committee.
Section 5. “Special Committees” are temporary committees that are formed and tasked by the President to pursue a specific duty by a specific time. An example is the Nominating Committee.
Section 6. “Season” shall mean the period of the League’s golf events formally scheduled by the Board of Directors during the year.
Section 7. “Play day” is an officially scheduled day of golf for the League’s members played at either the home course or away.
Section 8. “Constitution” is the document that establishes the League and specifies how it is structured and organized.
Section 9. “Bylaws” are the secondary rules adopted by the League for governing its own affairs, including its competitions.
Section 10. “General Instructions” provide information for the League’s members regarding participating in golf events sponsored by the League.
ARTICLE III—GOVERNMENT
Section 1. Board of Directors. The League’s affairs shall be governed by a Board of Directors. The Board of Directors consists of four officers, nine chairmen of standing committees, and the immediate past president. The Board may be assisted from time-to-time by temporary special committees appointed by the President to pursue special tasks.
Section 2. Term of Office. Members of the Board of Directors shall serve a term of office of at least one year. The term begins in May.
Section 3. Officers. Officers, their election, and their duties are addressed in the constitution.
Section 4. Standing Committees. Committee Chairmen chair the nine permanent committees that provide special functions for the League:

§ Ringer
§ Membership
§ Sunshine
§ Prize
§ Play Day
§ Interclub
§ Special Tournaments
§ Communications
Section 5. Appointment of Standing Committee Chairmen. The President appoints the Chairmen of the Standing Committees during May with the counsel and advice of a Special Nominating Committee.
Section 6. Special Committees. From time-to-time the President may appoint special committees to pursue specific tasks of interest to the League that must be completed within a set timeframe. Upon completion of the task and reporting to the President, the committee disbands. The chairmen of special committees serve the Board of Directors, but are not Board members.
Section 7. Nominating Committee. At the appropriate time, the President appoints a special Nominating Committee of four members to nominate a slate of officers and a slate of committee chairmen for the next season. The President will appoint two members of the committee, and the other two members shall be elected at large during the February general meeting.
ARTICLE IV—NOMINATION, ELECTION AND INSTALLATION OF OFFICERS
Section 1. Nomination. When directed by the President, the Special Nominating Committee will develop and present a slate of officers and a slate of committee chairmen that may include any members.
Section 2. Election. The slate of officers is presented to the members at the general meeting in April. The members vote on the slate. A majority of those present is sufficient to elect the slate.
Section 3. Installation. The newly elected officers will be duly installed at the May general meeting.
Section 4. Appointment. The newly elected President will appoint the Committee Chairmen in May, with the advice and counsel of the Nominating Committee.
ARTICLE V—DUTIES OF COMMITTEE CHAIRMEN
Section 1. Handicap and Rules Chairman. The Handicap and Rules Chairman shall be responsible for:
§ Helping ensure that handicaps for all members are proper and current
§ Working with the Pro Shop to ensure proper procedures for posting scores
§ Determining the member who is the Most Improved Player of the Year
§ Interpreting and promoting members’ awareness and adherence to the USGA Rules of Golf
§ Rendering advice in regard to interpreting the USGA Rules of Golf and Local Rules in situations that may arise during competition
§ If advisable, appointing a committee to provide assistance in carrying out these duties
Section 2. Ringer Chairman. The Ringer Chairman shall be responsible for:
§ Conducting the annual season-long Ringer Tournament
§ Assigning members to one of three flights based on handicaps posted on November 1
§ Reminding members to keep their ringer scores posted and up-to-date
§ Keeping records of birdies made, and awarding birdie pins at the general meetings
§ Determining the final results of the Ringer Tournament and presenting awards for winners in three categories for each flight: front nine, back nine, and total eighteen
§ If advisable, appointing a committee to provide assistance in carrying out these duties
Section 3. Membership Chairman. The Membership Chairman shall be responsible for:
§ Welcoming new members and giving pertinent information to the Treasurer and the Birthday Chairman of the Ladies 18-hole League
§ Keeping an information file on all members and providing a current roster of members to the President, Secretary, Treasurer and to the Chairmen of the Playday, E-Mail, Ringer, and Communication Committees
§ If advisable, appointing a committee to provide assistance in carrying out these duties
Section 4. Sunshine Chairman. The Sunshine Chairman shall be responsible for:
§ Sending cards/flowers to members who are ill or for any reason deemed appropriate
§ If advisable, appointing a committee to provide assistance in carrying out these duties
Section 5. Prize Chairman. The Prize Chairman shall be responsible for:
§ Purchasing all authorized gifts, trophies, and awards
§ Working in conjunction with the Interclub Chairman and special tournament chairmen in presenting all awards
§ If advisable, appointing a committee to provide assistance in carrying out these duties
Section 6. Play Day Chairman. The Play Day Chairman shall be responsible for:
§ Planning and overseeing all regular play days (non-major tournaments)
§ Explaining the competition format to participants on play days
§ Working with the Pro Shop on pairings for play days
§ Preparing and presenting the next season’s golf schedule for approval by the Board of Directors at the summer meeting
§ Retaining records of each week’s tournament winners
§ If advisable, appointing a committee to provide assistance in carrying out these duties
Section 7. Interclub Chairman. The Interclub Chairman shall be responsible for:
§ Arranging for play away dates and guest days
§ Notifying the members of sign up dates, tee times, and the shirt colors to be worn
§ Working with the Play day Chairman to create a workable interclub schedule
§ If advisable, appointing a committee to provide assistance in carrying out these duties
Section 8. Special Tournaments Chairman. The Special Tournaments Chairman shall be responsible for:
§ Conducting the annual Jack and Jill Tournament, and coordinating the schedule with the Play day Chairman and prizes with the Prize Chairman
§ If advisable, appointing a committee to provide assistance in carrying out these duties
Section 9. Communications Chairman. The Communications Chairman shall be responsible for:
§ Notifying members by E-Mail or telephone in the case of cancellation of weekly plan, special events and reminders of monthly meetings and other important information
§ If advisable, appointing a committee to provide assistance in carrying out these duties
ARTICLE VI—DUES
The Board of Directors shall determine (1) the annual assessment for membership dues and
(2) entry fees for all tournaments conducted by the League. Annual dues shall be due and payable during April of each year. Ladies joining the League after January 1 shall pay an amount equal to two-thirds of the annual dues rounded up to the nearest dollar.
ARTICLE VII—THE SEASON
Section 1. Duration. The League’s season runs from September through May.
ARTICLE VIII—COMPETITION
Section 1. General. All competition conducted by the League shall be in accordance with the governing rules and regulations of the USGA.
Section 2. Eligibility. To be eligible for competition, a new member must have an established USGA handicap index either (1) verified from the member’s former club, or (2) based on at least ten nine-hole rounds played at Magnolia Point Golf and Country Club.
